Executive Assistant & Sourcing Agent

**Office of the COO, a U.S. agriculture company in Dali and Lijiang, Yunnan, China**

A highly organized, responsible, and multi-talented individual to provide high-level administrative and managerial support for the Chief Operating Officer (COO) at an American agricultural & farming company operating in Dali, Yunnan, China. Working with several other team members, the Executive Assistant and Sourcing Agent (EA) will direct day-to-day operation needs of the office and establish administrative priorities.

In addition, the EA works on a wide variety of complex assignments of a critical and/or confidential nature, frequently exercising independent judgment and making decisions on behalf of the COO based on a knowledge of policies, procedures and personnel. Overall, the EASA enhances the effectiveness of the COO and representing the COO to others.

Principal Duties and Responsibilities include the following:

Administrative management. Act as The Executive Assistant to the COO. Develops work priorities, office procedures and systems, including management of projects and top priorities to the COO.
Draft correspondence and memorandum for the COO. Prepares, edits, types, proofreads, translates, and occasionally composes correspondence, memorandum, contracts and other documents related to the operation of the business office. Performs typing and data entry using computer, spreadsheet and database software. May take, transcribe, and circulate notes from meetings. Manages independent projects, and may undertake research and/or administrative projects and conducts data analysis.

Working with farm staff, books travel arrangements and itineraries; arranges logistics for meetings at the farm and off-site; schedules and reschedules meetings for the COO. May arrange visits, greet guests, and escort them to the farm, as appropriate. May coordinate special events related to the operation of the Director's office, such as council meetings, exhibition-related events, parties, dinners and luncheons, both on-site and off-site. Assists the COO in the performance appraisal process.

Sourcing assistance. The COO is running several on-going, complicated projects that require the sourcing of new technology in China. To achieve this, the COO needs assistant in sourcing materials, equipment, and other technology from inside and outside of China. This will require strong negotiation skills and savvy use of the internet and relationships to find things for use in our agriculture company.

Relationship management. Has regular contact with government and business contacts, managing the relationships to advance the cause of the business and try to keep COO and agriculture company well-received in China.


High proficiency in English and Chinese is required. Ability to work well independently and take initiative. The qualified candidate will preferably have a minimum of 6+ years related administrative experience in progressively more responsible positions as executive secretary or executive/administrative assistant, or some combination of experience that would develop administrative organizational, communication, secretarial and basic bookkeeping skills.

Experience in agriculture, farming or agribusiness is a definite bonus for a candidate. A bachelor's degree in business, agriculture, or other higher degree is strongly preferred. Professional demeanor and ability to interact comfortably with VIPs, senior staff and the general public is essential. Must have excellent interpersonal skills; be diplomatic; discreet in handling highly confidential material, have excellent verbal and written communication skills, be a strong negotiator, and be organized and efficient in managing his or her own time and the time of the COO, in meeting deadlines, and in coordinating work on several projects at once. Must be a good time manager, as well as capable of prioritizing projects and responsibilities; proficient in operating personal computer software and developing documents in a professional manner.
